Check-ins

Run structured follow-up sessions between managers and their team members to track goal progress and leave feedback throughout the cycle.

Before You Begin

  • Check-in steps are added and configured in Step 5: Work Flow by the admin. They do not appear automatically.

  • Multiple Check-in steps can be added to the same workflow — for example, a Q1, Q2, and Q3 check-in, each with its own timeline and name.

  • The admin can enable a Health Indicator for each Check-in step, which requires managers to set a status on each goal during the check-in.

  • Check-ins are performed by managers. The comments managers leave are visible to talents inside their goal details.


What Check-ins Are For

A Check-in is a structured mid-cycle follow-up between a manager and their team members. During a Check-in, the manager reviews each talent's goals, leaves a comment on each goal to let the talent know how they are progressing, and — if the Health Indicator is enabled — sets a health status for each goal from their perspective.

Check-ins do not affect goal scores or the official goal status on the performance sheet. They are a feedback and visibility tool used to keep talents informed and aligned throughout the cycle.


Configuring a Check-in Step

In Step 5: Work Flow, drag the Check In step type into the workflow timeline and click it to configure:

  • Step Name — Give the check-in a meaningful name. Example: "Q3 Check-in" or "Mid-Year Follow-up". This name appears in the manager's task list and on the sheet.

  • Step Timeline — Set the start and end date during which the check-in must be completed.

  • Health Indicator — Toggle ON to require managers to assign a health status to each goal as part of the check-in. When OFF, managers can only leave comments without setting a status.

The admin can add multiple Check-in steps at different points in the timeline, each with its own name and date range.


How Managers Find Pending Check-ins

When a Check-in step opens, managers receive a notification. They can access pending check-ins from two places:

Things To-Do (Home) — The home dashboard shows a pending task with the check-in name and deadline. The task also shows the current overall progress status of the team.

My Team — Managers can go to My Team in the left navigation, select the cycle, and open the check-in from there.


Completing a Check-in

Click on the pending check-in task to open the check-in panel. The panel has three columns:

Left — Talents list Shows all team members assigned to this manager in the cycle. Each talent's name appears with their current check-in completion status. Talents with a completed check-in are marked. The manager works through the list one by one.

Middle — Check In This is the working area for the selected talent. If the Health Indicator is enabled, the manager must select one of three statuses for the current goal:

  • On Track — The talent is progressing well and is expected to meet the goal.

  • Needs Attention — There are concerns that need to be addressed but the goal is still achievable.

  • Off Track — The talent is not progressing as expected and may not meet the goal.

Below the status selector, the manager enters a comment for this goal. The comment explains the manager's assessment and any guidance or action expected from the talent.

The health status set here is the manager's perspective only. It does not change the official goal status on the performance sheet.

Right — Talent's Goals Shows the list of goals for the selected talent. The manager clicks on each goal to review it and fill in the health status and comment in the middle column.

Submitting and Moving to the Next Talent

After completing the health status and comment for all goals of the current talent, click Submit & Next to save and move to the next talent in the list. Repeat until all team members have been checked in.


What Talents See

Talents do not interact directly with the Check-in step. After the manager submits the check-in, the talent can see the manager's feedback inside their goal details in the comment section. This gives the talent visibility into how the manager views their progress without requiring any action from them.


FAQ

Can a manager check in on only some of their team members and skip others?

The manager can complete check-ins for team members in any order, but all team members in the cycle will appear in the talent list. There is no option to formally exclude a specific talent from a check-in.

Does the health status set during a check-in affect the talent's final score?

No. The health status is a visibility indicator for the manager's perspective only. It has no impact on the goal score or any component of the final performance score.

What happens if a manager does not complete the check-in before the deadline?

The Check-in step closes when its timeline ends. Incomplete check-ins are not automatically submitted by the system unlike the Acknowledge step, this step does not have an auto-complete behavior. Talents for whom no check-in was completed will not receive feedback for that check-in period.

Can a talent respond to the manager's check-in comment?

The comment is visible to the talent in their goal details. Depending on how the goal comment section works, the talent may be able to add their own response. However, the Check-in step itself does not require any action from the talent.
