Performance Cycle Creation: 1. Cycle Details

Everything you need to set up the foundation of a performance cycle: the name, timeline, who participates, and AI settings.

Before You Begin

  • You need Super Admin or Admin access to create a performance cycle.

  • The cycle will be saved as a Draft until you complete all 9 steps and launch it.

  • You can exit at any time using Save as Draft your progress is saved.


Starting a New Cycle

In the left sidebar, go to Performance → Cycles. Click + New Cycle in the top right. The creation wizard opens at Step 1: Cycle Details.


Cycle Details

This section sets the basic identity of the cycle.

Cycle Name

Enter a clear, descriptive name in the Cycle Name field. This name appears on all cycle cards, participant sheets, and reports.

Tips for naming:

  • Include the year or period (e.g. "2025 Annual Review" or "Q1 2025 Performance Cycle")

  • Be specific enough that employees can identify which cycle a sheet belongs to

  • Names cannot be reused — use unique names per cycle

Cycle Timeline

Set the Start Date and End Date using the date picker. This is the active review window — the period during which participants fill in their sheets and managers submit reviews.

The cycle timeline is not the same as individual step deadlines. Step deadlines (for example, how long the Approval stage runs) are configured later in Step 5: Work Flow.


Selection of Participants

Choose which talents will be included in this performance cycle. Select one method from the seven options:

All talents under a selected legal entity

All talents belonging to selected divisions

All talents belonging to selected departments

Individual talents selected manually

Only one selection method can be active at a time. After selecting a method, the relevant picker or upload area appears below.

Enroll by Email

When you select Enroll by Email, an upload zone appears:

  1. Click Download next to the Excel Template to get the template file.

  2. Fill in the required columns following the sample format in the template.

  3. Drag and drop the completed file into the upload zone, or click the zone to browse.

The system accepts one file per upload. Once uploaded, Lumofy reads the email addresses and maps them to active talent accounts.

Other Selection Methods

For Divisions, Departments, and Roles, a list picker appears after selection. Choose one or more values to include all talents that match.

For Specific Talents, a search field appears. Search by name or email and add talents individually.

For All Organizations and Legal Entity, no additional input is required beyond selecting the option.


AI Performance Insights

This section controls AI features that appear on performance pages during the cycle.

AI Performance Insights

The main toggle enables or disables AI-generated insights on employee performance pages. When enabled, two sub-options become available:

Performance summary — an AI-generated overview of the employee's performance, visible on their sheet.

Recommended actions — AI suggestions to support employee development, visible alongside the review.

Check the boxes next to the sub-options you want to include. You can enable the main toggle and leave both sub-options unchecked if you want the AI feature active but prefer to configure sub-options later.

AI Review Assistance

A separate toggle controls AI Review Assistance the feature that helps managers and talents draft review content. When enabled, AI suggestion prompts appear inside the review form fields during the cycle.


Saving and Moving to Step 2

At the bottom of the page:

  • Cancel — exits the wizard without saving. Any unsaved progress on this step is lost.

  • Save as Draft — saves your current input and keeps the cycle in Draft status. You can return and continue later.

  • Next → — saves this step and moves to Step 2: Cycle Components.

Once you move forward, Step 1 data is saved automatically. You can return to Step 1 at any time using the ← Backbutton from later steps.


FAQ

Can I change the cycle name after creating it?

Yes. While the cycle is in Draft or Upcoming status, you can edit the name. Once the cycle is In Progress you can not change it, check with your team before renaming to avoid confusion.

What happens if I upload the wrong Excel file for Enroll by Email?

The system will flag errors. You can re-upload a corrected file the previous upload is replaced.

Can I add more participants after the cycle launches?

This depends on your configuration. In most cases, the participant list is locked once the cycle moves to In Progress. Plan your participant selection carefully before launching.

Do I have to enable AI Performance Insights?

No. Both AI toggles are optional. If your organization does not use AI features, you can leave them disabled. This does not affect any other part of the cycle.
