Managing Attendance

Learn how to view, mark, and export attendance for your sessions.

Written by Mohamed Shantory

Before You Start

  • You must be a Super Admin or an Admin with session management permissions

  • Talents must be added to the session before their attendance can be recorded

  • For multi-day sessions, attendance is marked separately after each session day

Overview

Attendance in Lumofy is marked manually by an Admin. After a session day takes place, open the session, go to the Attendees tab, and mark each Talent as Attended, Late, or Absent. Attendance can be updated at any time and exported as a sheet.

Viewing the Attendees List

  1. Go to Develop → Sessions

  2. Click the session you want to manage

  3. Select the Attendees tab

The Attendees list shows every Talent added to the session with their:

  • Name and job title

  • Department

  • Attendance Status — Pending, Attended X of Y, Late, or Absent

📝 Note: In a multi-day session, "Attended X of Y" shows how many session days a Talent attended out of the total. For example, "Attended 2 of 5" means the Talent attended 2 out of 5 scheduled days. "Pending" means no attendance has been marked yet for that Talent.

Marking Attendance

  1. On the Attendees tab, click Mark Attendees

  2. The Mark Attendance modal opens, showing all Talents in the session

  3. For each Talent, select one status:

    • Attended — Talent was present

    • Late — Talent arrived late

    • Absent — Talent did not attend

  4. Use the Search bar or filter by Department or Job Role to find specific Talents quickly

  5. Click Save

💡 Tip: Attendance can be updated after saving. Open Mark Attendees again at any time to change a Talent's status.

Adding Talents to a Session

If a Talent was not included during session creation, you can add them from the Attendees tab.

  1. On the Attendees tab, click Add Talents

  2. Search for and select the Talents you want to add

  3. Save to update the attendees list

Downloading the Attendance Sheet

  2. The file downloads with the full attendees list and their attendance statuses

FAQs

Can Talents mark their own attendance?

No. Only Admins mark attendance.

Does attendance affect a Talent's learning progress or pathway completion?

No. Attendance is a status record only. It does not block access to content or trigger completion in Pathways.

Can I change attendance after it has been marked?

Yes. Click Mark Attendees again and update the status. The latest saved value is what appears in the list.

What does "Pending" mean?

Pending means attendance has not been marked yet for that Talent.

Can I mark attendance for each day separately in a multi-day session?

Yes. Each time you click Mark Attendees, you record or update attendance for a session day. The cumulative "Attended X of Y" count updates as you mark each day.
