Before You Start

  • You must have Admin or Super Admin access

  • Your Company Structure must be configured with roles and competencies before enabling assessments

  • Complete your Company Profile to unlock smarter, AI-driven assessment results

Overview

Lumofy's Competency Assessments use AI to evaluate each Talent's proficiency against the competencies linked to their role. Once enabled, Talents are prompted to take assessments at the frequency you set. Admins can then view individual results, track progress over time, and access detailed AI-generated feedback covering strengths, improvement areas, and development recommendations.

Step 1: Enable Competency Assessments

By default, Competency Assessments are disabled. You must enable them before Talents can be assessed.

1- From the left sidebar, go to Competencies

2- Click Evaluation

3- Select the Competency Assessments tab

4- Click Configuration in the top right of the Assessment Insights section. The Assessment Configuration modal will appear.

5- In the Assessment Configuration modal, toggle Enable Competency Assessments on. This turns AI-generated competency assessments on globally for your organization.

6- Set the Frequency: choose how often Talents are prompted to take an assessment (3 Months, 6 Months, or 1 Year)

7- Click Save Changes

💡 Tip: A banner will appear at the top of the page if your Company Profile is incomplete: "Complete your company profile to unlock smarter, business-driven competency assessments." Click Go to Company Profile to add your company data. A complete profile enables the AI to generate more accurate, context-specific assessment results.

Step 2: View Assessment Insights

Once assessments are enabled and Talents have completed them, results appear in the Assessment Insights section.

1- Go to Competencies → Evaluation → Competency Assessments

2- Under Assessment Insights, select the Talents Overview sub-tab to see individual talent results. The table shows the following columns:

  • Talent: name and job title

  • Job Family: the job family the talent belongs to

  • Latest Assessment: date of the most recent completed assessment

  • Assessed Competencies: number of competencies assessed out of the total linked to the talent's role (e.g. 2/15)

3- Use the Search by talent's name field to find a specific talent

4- Use the Job Roles and Job Family dropdowns to filter the list. Click Reset to clear all active filters

📝 Note: The table displays results across multiple pages. Use the pagination controls at the bottom to navigate.

💡 Tip: Switch to the Overall Insights sub-tab for an aggregated view of competency coverage and proficiency distribution across all assessed Talents in your organization.

Step 3: Review a Talent's Competency Details

Click View Insights next to any Talent to open their full competency breakdown.

The Competency Assessment Details modal shows:

  • Competency: each competency linked to the Talent's role

  • Previous Level: the level recorded in the prior assessment (shown as a dash if this is the first attempt)

  • Current Level: the level determined by the most recent assessment, shown with a color-coded badge:

    • Beginner

    • Knowledgeable

    • Capable

    • Skilful

    • Expert

  • Last Attempt: date of the most recent assessment

  • View Report: opens the detailed report for that specific competency

Use the Search by competency name field to find a specific competency within the modal.

Step 4: Read the Assessment Report

Click View Report on any competency to open its full report. The breadcrumb at the top shows the path: Competencies / Evaluation / "[Talent Name]" Assessment Report. The report has two tabs.

Overall Insights

This tab shows the AI-generated summary for the assessed competency:

  • Overall Score: shows four metrics side by side: Current Level, Previous Level, Last Attempt date, and Number of Attempts

  • Overall Feedback: includes a Comprehensive Assessment header followed by a narrative paragraph generated by AI summarizing the Talent's performance

  • Key Strengths: specific behaviors the Talent demonstrated well

  • Areas for Improvement: behaviors or skills where gaps were identified

  • Development Recommendations: suggested learning actions to close identified gaps

Question Report

This tab shows the Talent's answers question by question:

  • Select any question from the Questions panel on the left to view its details

  • Each question shows: the Scenario (context for the question), the Question itself, the Talent Answer section with all answer options listed (the selected choice is highlighted), and Insights (AI commentary on why the answer reflects a certain proficiency level)

⚠️ Warning: If a Talent did not complete the assessment, a banner appears at the top of the report: "This report is based on an assessment that hasn't been fully completed. Results may not reflect the talent's actual level." Unanswered questions are marked as Not Answered in the Questions panel on the left.

FAQs

What happens if I change the assessment frequency after assessments have already been sent?

The new frequency applies to future assessment cycles only. Existing assessments in progress are not affected.

Why do some Talents show fewer assessed competencies than the total linked to their role?

The Talent may not have completed all competency assessments yet. The fraction (e.g. 2/15) shows how many have been assessed so far out of the total competencies linked to their role.

Can I disable Competency Assessments after enabling them?

Yes. Click Configuration in the top right of the Assessment Insights section and toggle off Enable Competency Assessments, then click Save Changes. This stops new assessments from being sent but does not delete existing results.

What do the proficiency level colors mean?

Each level has a color-coded badge for quick scanning: Beginner (orange), Knowledgeable (green), Capable (yellow), Skilful (blue), Expert (dark green). Levels reflect the AI's evaluation of the Talent's answers against the competency definition.

What is the difference between the Talents Overview and Overall Insights sub-tabs?

Talents Overview shows individual results per Talent. Overall Insights shows aggregate data across all assessed Talents for a broader view of competency coverage and proficiency distribution across your organization.
