AI-Powered Competency Suggestions

Use Lumofy's AI to generate, complete, or rebuild your competency framework based on your company structure and industry benchmarks.

Before You Start

  • You must be a Super Admin or an Admin with Competency management permissions

  • Make sure your Company Structure has job roles defined the AI uses them to generate and map competencies

  • Your Company Profile should be complete the AI uses it as context when generating suggestions

  • If you choose Reset & Regenerate, all existing competencies will be permanently deleted. This cannot be undone


Overview

Building a competency framework manually takes time. Lumofy's AI can accelerate the process by generating competencies based on your job roles and industry benchmarks either filling gaps in an existing framework or building one from scratch. You review everything before anything is applied.


Step 1: Choose What You Want AI to Do

  1. Go to Competencies → Framework from the left navigation

  2. Click Ask AI

  3. A modal will appear with two options:

AI Add Missing Competencies Existing competencies remain untouched. The AI analyses your current framework and your company roles, then generates only the competencies that appear to be missing. Use this when you have a partial framework and want to fill the gaps.

Reset & Regenerate Competencies All existing competencies are deleted and a new set is generated from scratch based on your company structure and strategy. Use this when you want to start fresh or when your current framework is too outdated to build on.

⚠️ Warning: Reset & Regenerate permanently deletes all existing competencies and their associated data. This cannot be undone. Use Add Missing Competencies if you want to preserve your current work.


Step 2: Select the Job Roles to Generate Competencies For

After choosing your generation mode, you will be asked to select which job roles the AI should generate competencies for.

  1. A list of all roles from your Company Structure appears all pre-selected by default

  2. Use the search bar to find specific roles by name

  3. Use the Department filter to narrow the list by department

  4. Uncheck any roles you want to exclude

  5. Click Generate competencies

💡 Tip: You can run AI generation for a subset of roles if you only need competencies for a specific department or team. Uncheck everything else and generate for that group only.


Step 3: Review and Select Generated Competencies

Once the AI finishes, an AI Generated Competencies panel appears with everything it produced. Nothing is applied until you confirm.

For each competency you will see:

  • Name and description

  • Mapped roles — the job roles the AI has linked this competency to, with a suggested proficiency level for each role

  • A Selected checkbox — checked by default

From here you can:

  • Deselect any competency you do not want to add

  • Remove individual role mappings using the × button next to each role tag

  • Review the count of selected competencies in the Add competency (X) button at the bottom

When you are satisfied with your selection, click Add competency to apply.

💡 Tip: Take time to review each suggestion before adding. The AI benchmarks against industry standards but may not reflect your organization's specific context. Edit any competency after adding it if the description or indicators need adjusting.

📝 Note: You can re-run AI generation as many times as needed. Each run produces a fresh set of suggestions based on your current structure.

Can I re-run AI suggestions after already applying them?

Yes. You can run Ask AI as many times as needed. Each run gives you a fresh set of suggestions to review before applying.

Will AI overwrite competencies I have manually created?

Only if you choose Reset & Regenerate. AI Add Missing Competencies leaves existing competencies untouched and only generates new ones.

Can I edit AI-generated competencies after adding them?

Yes. Once added, AI-generated competencies behave exactly like manually created ones. You can edit names, descriptions, synonyms, and behaviour indicators at any time.

What happens to roles linked to deleted competencies if I use Reset & Regenerate?

When competencies are deleted, they are removed from any roles they were linked to. The new AI-generated competencies will need to be linked to roles as part of the new framework.

Does the AI use my company's data to generate suggestions?

Yes. The AI uses your Company Profile, your Company Structure (job roles and departments), and your existing competency framework as context, combined with industry benchmark data.
