Creating a Performance Sheet

Understand the structure of a performance sheet, who fills it, and how goals, competencies, and training needs are added before submission.

Before You Begin

  • A performance sheet is created automatically for each participant when a cycle launches. The sheet does not need to be manually created — it is generated from the cycle configuration.

  • Who fills the sheet is determined by the Talent Goals step setting in Step 5: Work Flow. The admin sets this to Talent or Manager before launching the cycle.

  • The components visible on the sheet (Goals, Competencies, Training Needs) depend on what was enabled in Step 2: Cycle Components.


Who Creates the Sheet

The Talent Goals step in the workflow controls who is responsible for filling the performance sheet:

  • Talent — The talent logs in and fills their own sheet. They add their goals, see their assigned competencies, and add any training needs.

  • Manager — The manager fills the sheet on behalf of the talent. The talent may receive an Acknowledge step afterward — where they review and confirm the content — depending on how the workflow is configured.

The admin cannot change who fills the sheet after the cycle has launched.


Opening the Sheet

If the talent fills the sheet: The talent receives a notification when the Talent Goals step opens. They go to My Performance in the left navigation, select the active cycle, and open their performance sheet.


If the manager fills the sheet: The manager goes to My Team in the left navigation, selects the cycle, and opens the relevant talent's performance sheet.

The sheet opens as a single page showing all components in one view: Goals at the top, followed by Competencies, then Training Needs at the bottom.


Goals Section

The Goals section is where talent-level goals are added for this cycle. This section only appears if Smart Goals was enabled in Step 2.

Adding a Goal

Click Add New Goal to open the goal creation form. Fill in the following fields:

  • Goal Title — A clear name for the goal. Example: "Increase Customer Satisfaction".

  • Description — Optional. More context about what the goal covers or how it will be measured.

  • Goal Alignment — If Goal Alignment is enabled in Step 3, select a parent department or division goal to link this goal to. If Require Alignment is ON, this field is mandatory before the goal can be saved.

  • Numeric KPIs — If KPIs are enabled in Step 3, enter the KPI details:

    • Target Value — The numeric target to reach by the end of the cycle.

    • Actual Value — The current or starting value (can be auto-filled if connected data is available).

    • Start Value — The baseline value at cycle start.

  • Weight — If Goals Weight is enabled in Step 3, assign a percentage weight to this goal. The total weight across all goals must equal 100%.

Click Create Goal to save.

Goals are set by the person filling the sheet — talent or manager — not by the admin. The admin controls weight rules and KPI types through Step 3 settings, but the actual goal content is entered on the sheet.


Competencies Section

The Competencies section lists the competencies assigned to this talent based on their job role or level. This section only appears if Competencies were enabled in Step 2.

Competencies are pre-assigned by the admin in Step 3: Competencies Settings. The person filling the sheet cannot add or remove competencies they are fixed for the cycle.

For each competency:

  • Weight — The weight is set by the admin in Step 3 before the cycle launches. The person filling the sheet sees the weight but cannot change it. Or admin can select that the person who will the sheet will add weight.

  • KPI — If competency KPIs are enabled, the person filling the sheet can add a KPI for each competency to clarify how that competency will be measured. The KPI type (Numerical or Static) is determined by the admin in Step 3.


Training Needs Section

The Training Needs section captures the learning content linked to this talent's performance. This section only appears if Training Needs was enabled in Step 2.

Training Needs have no weight — they do not contribute a percentage to the score formula in the same way goals or competencies do. If Training Needs auto-scoring is enabled in Step 7, Lumofy calculates the Training Needs score automatically based on completion data from connected learning.

There are two ways to add training needs:

Add Manually

Click Add Manually to enter a training need without linking to an existing course or pathway in the system:

  • Training Need Title — Describe the learning need. Example: "Advanced Excel Training".

  • Type — Choose whether this is a Course, Pathway, or Session.

  • Locale — The language of the training content.

Click Locate to save.


Select from Library

Click Select from Library to link the talent to existing learning content already in Lumofy:

  • Add Courses — Browse and select one or more courses from the content library.

  • Add Pathways — Browse and select learning pathways.

  • Add Sessions — Browse and select live sessions.

Each item can be searched or filtered by title, category, or other attributes. Select the content and click Add to attach it to the Training Needs section.


Submitting the Sheet

Once all sections are complete, click Submit Performance Sheet at the top right of the page.

Before submitting:

  • If Goals Weight is enabled, verify that the total weight of all goals equals 100%. The system will block submission if the total does not add up.

  • Review all competencies and training needs are filled as required.

After submission, the sheet moves to the next step in the workflow.

You can save your progress at any point by clicking Save as Draft. The sheet remains in draft state and does not advance in the workflow until you submit.


What Happens After Submission

What happens next depends entirely on how the workflow was configured in Step 5. Common paths include:

If talent filled the sheet:

  • The sheet may go to the manager for approval, then to an admin for a second approval, or both — depending on the Approval steps added in the workflow.

  • If only one approver is configured, the sheet moves to them directly.

If the manager filled the sheet:

  • The sheet may go to an admin for approval.

  • The talent may receive an Acknowledge step where they view and formally confirm the content the manager submitted on their behalf.

Both approval and acknowledgment steps are controlled entirely by the workflow. The sheet creator cannot change the post-submission path.


FAQ

Can I edit the sheet after submitting?

Not directly. Once submitted, the sheet moves to the next workflow step. If an approver returns the sheet, you will be able to edit and resubmit it.

What if the total goal weight does not reach 100%?

The system blocks submission until the total weight equals 100%. Adjust the weight values on individual goals until the total is correct.

Can the talent see the sheet if the manager filled it?

included in the workflow, the talent can view and acknowledge the sheet. Without an Acknowledge step, the talent does not interact with the sheet directly.

Who receives the sheet after submission?

This depends on the workflow. The next step in the workflow sequence determines who acts on the sheet next an approver, a reviewer, or an acknowledgment recipient.
