User Management

Learn how to add, search, edit, and manage Talents in your Lumofy environment.

Before You Start

  • You must be a Super Admin or an Admin with user management permissions

  • User management is done under Company → Talents


Overview

The Talents page is your central place for managing all users in your Lumofy environment. From here you can add new users manually, search and filter your user list, edit profiles, and control access.

The Talents List

Go to Company → Talents in the left navigation.

The list shows all users in your environment with the following columns:

Column

What it shows

Talent's Name

Full name and profile photo

Role

The talent's job title or role in the organisation

Department

The department they belong to

Line Manager

Their direct manager

User Role

Their platform permission level (Admin or Talent)

Actions menu

You can search by name using the search bar, or use Filters to narrow the list by department, role, or other attributes. Click Reset to clear active filters.


Adding a New Talent

  1. Click + New Talent in the top right

  2. Fill in the talent's details:

    • First Name and Last Name

    • Email — used for login and notifications

    • User Name — the talent's display username

    • Role — their job role in the organisation (e.g. Marketing Specialist)

    • Line Manager — select their direct manager from the dropdown

    • User Permission — set their platform access level (e.g. Admin, Talent)

    • License — assign a licence to the user

    • Talent ID (Custom Field) — an optional identifier for internal tracking

  3. Click Add Talent

The talent is added to the environment and receives an invitation email to set up their account.

💡 Tip: To add multiple users at once, use the CSV import feature. See [Inviting & Importing Users] for the full import flow.


Editing a Talent

  1. Find the talent in the list

  2. Click the menu on their row

  3. Select Edit

  4. Update their details

  5. Save the changes


Deactivating a Talent

Deactivating a talent prevents them from logging in without permanently removing their data.

  1. Find the talent in the list

  2. Click the menu on their row

  3. Select Deactivate

  4. Confirm the action

To reactivate a deactivated talent, repeat the same steps and select Reactivate.

⚠️ Warning: Deactivated Talents lose access to the platform immediately. Their data and history are preserved and can be restored by reactivating the account.


Deleting a Talent

  1. Find the talent in the list

  2. Click the menu on their row

  3. Select Delete

  4. Confirm the deletion

⚠️ Warning: Deleting a talent is permanent. All associated data including performance history, learning progress, and assignments is removed and cannot be recovered.


FAQs

What is the difference between deactivating and deleting a talent?

Deactivating suspends access while keeping all data intact. Deleting permanently removes the talent and all their data. Use deactivate when someone is on leave or temporarily inactive; use delete only when you need to fully remove them.

Can I change a talent's platform role after they have been created?

es. Edit the talent and update their User Permission field to change their platform access level.

Can I import users in bulk?

Yes. See [Inviting & Importing Users] for the CSV import process.

Do Talents need to complete anything before Week 4 content is assigned?

Competency Assessments should be complete. Their results directly inform which content is most relevant for each Talent.

What happens when I add a talent — do they get notified?

Yes. Talents receive an invitation email when their account is created, prompting them to set up their login.
