Permission & Role Errors

Fix issues related to restricted access, missing features, or incorrect role configurations.

Written by Mohamed Shantory

Before You Start

  • Only a Super Admin can change role permission groups

  • Role and permission changes take effect immediately no logout required

  • There is an important difference between Job Role (job title) and User Permission (platform access level) see below

Missing Features or "No Permission" Errors

A user can't see a menu item or feature

  1. Check the user's User Permission field confirm it's set correctly (Admin, Talent, etc.)

    • Go to CompanyTalents → find the user → ⋮ → Edit

  2. If the role is correct, check whether the relevant permission group includes that role

    • Go to SettingsPlatform SettingsRoles & Permissions

    • Find the permission group for the missing feature

    • Confirm the user's role is listed there

An admin can't access a specific module

  • A Super Admin may have removed Admin from that permission group

  • Go to SettingsPlatform SettingsRoles & Permissions, find the relevant group, and add Admin back

A manager can't see their team's data

  • The affected talents may not have that manager assigned as their Line Manager

  • Go to CompanyTalents → find the talent → ⋮ → Edit → check the Line Manager field

Role Configuration Issues

Wrong role assigned to a user

  1. Go to CompanyTalents

  2. Find the user → ⋮ → Edit

  3. Update the User Permission field to the correct role

  4. Save the change takes effect immediately

Custom role not working as expected

  • Custom roles follow the same permission group structure as built-in roles

  • Go to SettingsPlatform SettingsRoles & Permissions and verify the custom role is added to the correct permission groups

User has Admin role but still can't do a specific action

  • Admin access is controlled by permission groups, not just the role label

  • A Super Admin may have restricted that group

  • Check SettingsPlatform SettingsRoles & Permissions for the relevant group and confirm Admin is listed

Common Scenarios at a Glance

Symptom

Likely Cause

Fix

User sees Talent view despite being Admin

User Permission is set to Talent

Edit user → change User Permission to Admin

Manager can't access appraisals

Appraisals group doesn't include Manager

Roles & Permissions → Appraisals → add Manager

Admin can't create content

Content Creation group doesn't include Admin

Roles & Permissions → Content Creation → add Admin

Talent can access admin features

User Permission incorrectly set to Admin

Edit user → change User Permission to Talent

Job Role vs. User Permission

These two fields are often confused:

Field

What It Means

Job Role (on the talent profile)

The user's job title in the organization (e.g., Marketing Specialist). Does not affect platform access.

User Permission (on the talent profile)

The user's access level in Lumofy (Admin, Talent, etc.). Controls what they can see and do.

Changing a user's Job Role has no effect on what they can access in Lumofy. User Permission is what controls access.

FAQ

Why can't I edit role permission groups?

Only Super Admins can change permission groups. If you're an Admin and need to adjust permissions, ask your Super Admin.

A role change isn't showing for the user immediately. What do I do?

Role changes take effect immediately without requiring a logout. Ask the user to refresh the page. If the issue persists, have them log out and back in.

Can a user have both Admin and Manager roles?

Yes. Set User Permission to Admin and assign the user as Line Manager to their direct reports. They will then have both admin capabilities and manager-level visibility over their team.

I removed a permission by mistake. How do I fix it?

Go to SettingsPlatform SettingsRoles & Permissions, find the affected group, and add the role back. The change applies immediately.
